EEB Business Office News BriefsSuperman fails to get proper receipts: is not reimbursed for business dinner with Batman (Guest Speaker: Superheros: Making the Work/Life Connection) (August 23, 2005)On August 29, 2005 the EEB Monday Seminar Series will be in full swing. This is just a quick reminder concerning reimbursement policy for meals with the guest speakers, candidates, etc. The maximum allowed per person for lunch is $25 and $40 for dinner. This includes tax and tips. Charges for alcoholic beverages will not be reimbursed. I suggest that you pay any alcoholic beverages on a separate ticket. The current Accounts Payable policy requires that a portion of the tips and tax on receipts that include alcohol be allocated to the alcohol charges and not be reimbursed. You may have to ask for one, but please make sure you get an itemized receipt from the restaurant. Make sure you provide a list of everyone in the party (the back of the receipt is a good place). I Just Want to Go Home!!!! (July 29, 2005)It is 8:00 PM and dark outside. After a long day at work you are ready to go home and get some rest. When you get to your car, you find that it won't start---and there is not another soul around. What do you do now!!!!! Never fear, help is just a phone call away! Call MAP at 621-AUTO (2886). MAP (Motorist Assistance Program) is a free service provided by the Parking & Transportation Services Parking Enforcement Section. They will jump start a car, temporarily fix a flat with tire sealant and even help get keys out of locked vehicles. This service is available 7 AM to 11 PM Monday - Friday mid August through mid May and 7 AM to 7 PM Monday - Friday mid May through mid August. (June 15, 2005)UA Life and Work Connections provides a Sick Child and Emergency/Back-Up Care program. The SCP/EBCP provides temporary caregiver service for children (birth-12) of benefits-eligible employees, graduate/professional students and undergraduate students, so that parents may fulfill work-related and classroom commitments with the comfort and knowledge that their children's parental care needs are being attended to. For more information, see the Lifework web page or call 621-4365 -- Jean Stores and Lab PurchasingJust a reminder to everyone making purchases for lab items: Stores has a warehouse with some items (glassware, tips, paper of all kinds) in it. You can check out what they have at their website. Just click on the "Stores Inventory" and it will take you to their catalogue. The advantage of using Stores for these purchases is that in most instances, you can get the order the next day. Just fill out a Merchandise Order Form and bring it to the Business Office. We will approve it and fax it over to Stores for you. Also, just a note, there is a 5% markup on purchases through Stores (for their services), but if you need the items in a hurry, the cost may be worth it. Need a New Computer??? (Feb. 1, 2005)The University of Arizona has entered into a strategic alliance with Gateway. The benefits from this alliance will mean better prices, better product options and a rebate program that will send dollars back to the University. "And what does this mean to me?" It means that you should use Gateway eSource to make any computer purchases in the future. An exemption from this may be issued, but it will require a written justification and approval from Purchasing prior to the purchase. Field Trip to the Emergency Room!!!The news we have been waiting for is out: "The UA now has insurance for medical expenses to cover UA students and official volunteers who incur accidental injuries while traveling as part of a UA-sponsored program." Until now, volunteers and students traveling for U of A programs or projects have been on their own when accidental injury was incurred. They either had to use their own insurance or were out-of-pocket for the treatment of those injuries. This program covers up to $25,000 of medical expenses for eligible persons. Now that this coverage is available, it is more important than ever to make sure travel policies and procedures are followed. Please make sure that you have completed a travel authorization form prior to traveling on University business (field trips, conferences, meetings with collaborators, student organization activities, etc). This not only verifies authorization for expense reimbursement, but also verifies authorization in the event of an accident with injuries. For instructors taking students on a field trip, we can process a single authorization form with the trip information and attach a list of everyone participating. For those traveling to in-state research sites several times a week, we can process a travel authorization form that covers a 3 month period. I didn't know there was going to be a disaster preparedness drill!!!!!Feel like you never know what is going on? How often do you read your emails? The Employee Email Policy, which authorizes the use of e-mail for official correspondence with employees, went into effect 10/25/04. This means that departments/offices may choose to send e-mail rather than paper correspondence for any business purpose. All UA employees should have an official University e-mail account (ends in arizona.edu). For more information read the UA News press release about the new policy. |
